I stopped rewriting the same 12 replies by drafting from my own sent folder
A lot of my inbox wasn't new work. It was the same questions in new threads: pricing, timeline, what's included, how onboarding works, can you do X. I kept rewriting answers I had already written well six months ago.
I didn't build a chatbot. I built a first-draft machine that only uses my own past emails.
Here's the setup, Make.com + Gmail + a private Google Doc of "approved answers":
Trigger: new inbound email that isn't from an existing client project (those still get a human read first).
Action: GPT classifies it as one of about 12 question types, or "other." Other skips the rest and just sits in my inbox.
Action: for a known type, it searches my sent folder plus the approved-answers doc and pulls the closest reply I actually sent before.
Action: it drafts a reply in Gmail, in my voice, with a blank where a name or price might need updating. It never sends.
I open the draft, change two lines if needed, hit send. Average time is under a minute.
After about six weeks:
Repeat questions went from 15-20 minutes of writing each to a skim and a send.
Tone stayed consistent because the source material is emails I already sent, not a generic FAQ page.
The classifier used to dump "can we hop on a call?" into pricing. I added an explicit "call request" type that drafts nothing and just labels it. Don't auto-draft meeting asks.
The rule that matters: drafts only, never auto-send, and only from copy I've already stood behind. That's how you get the time back without sounding like a bot.
If you want the 12-type list and the "don't send" prompt rules, people pass that around in the AI Automation Toolkit community.
