How much are your manual workflows actually costing you? (Here's how we find out)

Most SMB owners have a gut feeling that they're wasting time on repetitive tasks. But when I ask them to put a number on it, they can't.

So here's the exercise I run with every new client before we touch a single automation:

The Workflow Cost Audit — 4 questions

  1. List every task your team does more than once a week. Be granular. "CRM updates" is too vague — "copying form submission data into HubSpot contact records" is the right level.

  1. Estimate the time per task, per week. For each task, write down: who does it, how long it takes, and how often.

  1. Multiply by your team's hourly rate. Even if they're salaried, divide their annual comp by 2,080 to get an hourly figure. That's the true cost of the task.

  1. Ask: does this task require human judgment, or just human presence? If a smart person could write instructions for a robot to do it, it's automatable.

Most SMBs I audit are sitting on $4,000–$12,000/month of automatable labor. Not because they're running inefficient businesses — because nobody took 90 minutes to actually map it out.

That's exactly what our AI Automation Audit does. In one session, we go through your entire ops stack, identify the highest-ROI workflows to automate first, and hand you a prioritized roadmap.

One-time, $249. You walk away knowing exactly what to build — whether you hire us to build it or do it yourself.

Why 'I'll figure out automation later' is costing you right now

There's a specific type of business owner I talk to a lot.

They know they need to automate. They've watched the YouTube videos. They've got a Make.com account they haven't touched in three months. They tell me "I'm going to get to it once things slow down."

Things never slow down.

Here's the truth: automation isn't something you fit in around the work. It IS the work — for a few weeks — and then it pays you back in time for years.

The reason most SMB owners never get there isn't motivation. It's that they're trying to learn automation tools, apply them to their specific business, and keep running the business all at the same time. That's three full-time jobs.

The Automation Accelerator exists for exactly this situation.

It's a $399/month membership built for owners who want to implement automations themselves but need the guardrails to actually get it done:

  • Bi-weekly group coaching calls — bring your workflows, we break them down together

  • Full template library — pre-built automation blueprints for the most common SMB use cases (CRM, invoicing, onboarding, reporting, lead routing)

  • Async support — stuck on a step? Post it in the community, get an answer from us within 24 hours

  • Monthly workflow review — every 30 days we look at what you built, what's working, and what to tackle next

This isn't a course you watch and forget. It's an active build environment where you actually ship automations each month.

If you're ready to stop putting it off, this is where you start.

Welcome to Autonex — Here's How This Works

Hey, glad you're here.

What we're building together:

Your ops are full of tasks that drain time and don't need human judgment. We find those tasks, build automations around them, and hand you back hours every week. Think CRM auto-updates, invoice generation, reporting pipelines, Slack/email triage.

How the retainer works:

  • Week 1: Workflow audit — short intake form, we map your biggest bottlenecks

  • Weeks 2-4: We scope and build your first automation

  • Every month: Iterate, optimize, and tackle the next highest-leverage workflow

Use this space:

  • Client Hub (Chat) — Direct line to us. We respond within 24 hours on business days.

  • Updates & Resources — Build updates, tutorials, and useful tools.

First step: Reply here with your top 3 manual tasks eating your time. We start there.

Let's get to work.

The 5 workflows every SMB is still doing manually (and shouldn't be)

Most small businesses are sitting on 10–20 hours of avoidable work every week. Not because they're lazy — because nobody mapped out which tasks are actually automatable.

Here's a quick breakdown of the 5 most common ones I see:

1. CRM data entry

Sales calls happen, notes get taken, nothing gets logged. Fix: auto-log calls, emails, and form fills into your CRM with zero human input.

2. Invoice generation & follow-up

Most SMBs still create invoices by hand and chase payments over email. Fix: trigger invoices from milestones, auto-send reminders at 7, 14, and 30 days.

3. Weekly reporting

Someone pulls numbers from 4 tools, pastes into a spreadsheet, formats it, sends it every Monday. Fix: fully automated report, compiled and delivered on schedule.

4. Lead routing

New inquiry → someone reads it, figures out which rep gets it, forwards the email. Fix: auto-route leads by source, product, or territory with zero manual sorting.

5. Onboarding checklists

New client starts, someone has to remember to send the docs, set up the channels, schedule the kickoff. Fix: one trigger starts the whole sequence automatically.

None of these require enterprise software. They require someone to sit down and build the workflow once.

That's exactly what Autonex does. If any of these hit close to home, let's talk.
