Why most specialty roasters lose track of their farmers (and how to fix it)

If you're sourcing direct-trade coffee, you've probably dealt with this: spreadsheets with outdated farmer data, no clear picture of crop yields across seasons, and zero visibility into whether your quality standards are actually being met at origin.

The problem isn't that roasters don't care — it's that the tools weren't built for them. ERPs are overkill. Google Sheets fall apart at 50+ farms. And most "supply chain" software is designed for commodity traders, not someone buying 15 bags of washed Ethiopian from a cooperative in Sidama.

Here's what actually matters for specialty roasters tracking farmer data:

1. Farm-level profiles, not just lot numbers. You need to know the farmer, their altitude, processing methods, and historical cup scores — not just what's on the export document.

2. Season-over-season tracking. A great lot this year means nothing if you can't compare it to last year's harvest from the same farm. Trends matter more than snapshots.

3. Simple enough to actually use. If it takes 20 minutes to log a visit or update a contact, nobody on your team will do it.

That's exactly what we're building at CafCore. One dashboard for every farmer relationship you manage — crop data, quality tracking, and full supply chain transparency.

If you're a specialty roaster doing direct trade and tired of the spreadsheet chaos, this is for you.
