The hidden cost most agencies miss when paying contractors
Ran the numbers on agency payroll for a while now, and here's the thing nobody talks about: most agencies paying 5-15 contractors are losing hours every month to something that should take minutes.
A few patterns I keep seeing:
1. Payment timing drift. Contractors get paid "around the 1st" instead of exactly on the 1st. Late payments quietly damage retention — your best freelancers notice, even if they don't say anything.
2. No paper trail for clients. If you're running payroll for a client's team as part of a retainer, and you can't hand them a clean monthly report, you look unprofessional at renewal time — even if the actual work was flawless.
3. Manual tax/compliance guesswork. Misclassifying a contractor or missing a 1099 deadline is a cheap mistake that becomes expensive fast.
None of this requires hiring a full-time ops person. It requires a system: fixed pay dates, a paper trail by default, and someone (or something) checking compliance before it becomes a problem.
If you're running an agency and payroll is still living in spreadsheets and Venmo, that's usually the first thing worth fixing before you scale headcount further.
