The 5-Minute Meeting Prep That Changed My Close Rate

Most account executives spend either zero minutes or forty-five minutes prepping for client meetings. Both are wrong.


Zero prep means you're reactive — scrambling through notes on the call, asking questions you should already know the answers to, and leaving without clear next steps.


Forty-five minutes means you're burning time you don't have, going down rabbit holes in CRM data that won't move the deal forward.


Here's what actually works: a structured 5-minute prep pass.


Before every client meeting — whether it's a discovery call, a QBR, a renewal, or an expansion play — I run through five steps:


  1. Account context. What's happened recently? What are they trying to accomplish? What's their current state? You're not re-reading the entire account history — you're refreshing the top-line story.


  1. Meeting goal. What's the one thing this meeting needs to accomplish? If you don't define this before you sit down, you'll leave without it.


  1. Key notes and recent activity. Pull the last 2-3 touchpoints — emails, calls, support tickets, usage data. Surface anything that could come up. No surprises.


  1. Talking points and questions. Not a script — a short list of things to say and things to ask. The best AEs don't wing it, they prepare the right questions ahead of time.


  1. Next steps. Before the meeting even starts, know what you want the exit to look like. What's the follow-up? What's the ask? Walk in with a plan to walk out.


This takes 5 minutes. I do it every single time. It's the reason I stopped losing deals to "I forgot to bring that up" or "I should've asked about that."
