Most solo entrepreneurs don't have a systems problem — they have a sprawl problem. 47 pages, 12 databases, zero clue where anything lives.

Here's the fix I use with every client I onboard onto a Notion business system: the 3-tab rule.

Every workspace should collapse to exactly 3 top-level tabs:

1. RUN — your CRM, leads, and client delivery tracker. Anything tied to making and keeping money.

2. GROW — content calendar, marketing pipeline, goals/OKRs. Anything tied to future money.

3. KNOW — finance tracker, reporting, master dashboard. Anything tied to understanding your business.

If a page doesn't obviously belong under one of those three, it either gets merged into an existing database as a filtered view, or it gets archived. No exceptions.

The reason this works: your brain can hold 3 buckets without friction. It cannot hold 47 nested pages. Every extra top-level tab is a tax on your own decision-making every time you open Notion.

If you're rebuilding your system from scratch, start with the 3 tabs empty, and only add pages when you have a database that clearly belongs. You'll end up with something you actually maintain — instead of an elaborate template you abandoned in week two.
