The 3 numbers every freelancer should check every Sunday

Most freelancers only look at their books at tax time — by then it's too late to fix anything. Here are the 3 numbers I have every client check weekly, takes 10 minutes:

1. Runway — cash on hand ÷ average monthly expenses. If this drops below 3, stop and reassess before it becomes a crisis.

2. Unpaid invoices (aging) — anything over 30 days needs a follow-up email that day, not 'someday.' The longer it sits, the less likely you get paid.

3. Real profit margin — revenue minus ALL costs (software, contractors, your own owner's draw) divided by revenue. A lot of 'profitable' freelancers are actually break-even once you count the tools they forgot they're paying for.

If you're tracking these in a spreadsheet and dreading it, that's exactly the gap we built LedgerHive to close — we do the categorizing and reconciliation, you just read the 3 numbers.

The bookkeeping mistake that costs freelancers thousands every year

Most freelancers and small business owners don't lose money because they undercharge — they lose it because they don't know their numbers until tax season, when it's too late to do anything about it.

Here's the pattern I see constantly:

  • Invoices go out, payments come in, and nobody categorizes anything until December

  • Deductible expenses get missed because there's no paper trail

  • Estimated quarterly taxes get guessed instead of calculated — usually followed by a penalty

  • Cash flow "feels" fine until a slow month hits and there's no visibility into why

The fix isn't a better spreadsheet. It's closing your books every single month — categorized transactions, reconciled accounts, a real P&L — so you always know where you stand, and your CPA isn't reconstructing a year of chaos in April.

That's the whole idea behind LedgerHive: hands-off monthly bookkeeping for freelancers and small businesses. We close your books, you run your business.

If you're still doing your books once a year, that's the first thing to fix — regardless of who does it for you.
