The Math on Hiring vs. AI Automation (It's Not Even Close)

I see this question every week: "Should I hire a VA or automate with AI?"

Let's do the math.

---

Scenario: You Need Help With 4 Tasks

  1. Email management — sorting, replying, flagging (10 hrs/week)

  2. Content creation — social media posts (8 hrs/week)

  3. Lead follow-up — qualifying and nurturing (5 hrs/week)

  4. Client onboarding — setup and welcome sequences (3 hrs/week)

Total: 26 hours/week of work you need off your plate.

---

Option A: Hire a Virtual Assistant

Cost: $8-15/hr for offshore, $20-35/hr for domestic

Let's use $12/hr (mid-range offshore, decent quality)

  • 26 hrs/week × $12/hr = $312/week = $1,352/month

Hidden costs:

  • Training: 20-40 hours upfront (your time)

  • Management: 3-5 hrs/week reviewing their work

  • Mistakes: They WILL mess up onboarding, send wrong emails, miss leads

  • Turnover: Average VA lasts 4-6 months, then you retrain

  • Scaling: Need more help? Hire another one. Costs double.

Realistic total: $1,352/mo + 5 hrs/week managing them = ~$1,600/mo equivalent

Option B: AI Automation

Hidden costs:

  • Setup: 5-10 hours total (one time)

  • Maintenance: 30 min/week reviewing outputs

  • Improvement: Prompt tweaking as you learn what works

Realistic total: $52/mo + 30 min/week = $52/mo equivalent

When to STILL Hire a Person

AI automation isn't for everything:

  • Complex judgment calls — "Should we fire this client?" needs human wisdom

  • Creative strategy — AI executes, humans direct

  • Relationship building — genuine networking and partnerships

  • Physical tasks — obviously

The move: automate the repetitive 80%, hire for the strategic 20%.

Most solopreneurs have it backwards. They hire for the repetitive work and try to do the strategic work themselves while exhausted.

The Execution Order

If you're spending $0 on AI right now:

  1. Week 1: ChatGPT Plus ($20/mo) — start with email triage

  2. Week 2: Add Zapier ($20/mo) — automate the triage into real workflows

  3. Week 3: Build content repurposing system — 1 input → 16 outputs

  4. Week 4: Build lead scoring + auto follow-up

By month 2, you've replaced $1,352/mo of VA work for $52/mo. And it only gets better as you optimize.

The 5-automation system I teach inside NeuralOps follows exactly this order. Free starter kit with the first automation template is in my profile.

Are you currently paying for help that AI could handle? I'm curious about the numbers. 👇

Copy This ChatGPT Prompt — It Turns Any Meeting Into an Action Plan in 30 Seconds

This is the single most useful prompt I've ever written. I use it after every call, every meeting, every voice note.

It turns messy conversations into clear next steps.

---

The Prompt

After any meeting, dump your notes (or a transcript from Otter.ai/Fireflies) into ChatGPT with this:

You are a meeting analyst for a solopreneur. From these meeting notes, extract: 1) DECISIONS MADE — bullet list of anything agreed upon. 2) ACTION ITEMS — who does what, by when. If no deadline was stated, suggest one. 3) OPEN QUESTIONS — anything that was raised but not resolved. 4) KEY INSIGHTS — 2-3 takeaways the solopreneur should remember. 5) FOLLOW-UP EMAIL — draft a professional summary email to send to the other attendees. Format with clear headers. Be concise — no filler.

That's it. Paste your messy notes, get a structured action plan.

Why This Matters More Than You Think

The average solopreneur has 5-8 meetings per week. After each one, there's a 15-minute fog where you try to remember what was decided and what you promised.

Most of those promises get forgotten. Opportunities die. Clients notice.

With this prompt:

  • Meeting ends → paste notes → 30 seconds later you have clear actions

  • Send the follow-up email immediately (from the draft the AI created)

  • Never forget a commitment again

Making It Automatic

Level 1 (Manual): Copy notes → paste into ChatGPT → copy output → send email. Takes 2 minutes.

Level 2 (Semi-auto): Use Otter.ai ($16.99/mo) to auto-transcribe. After each meeting, transcript appears in your Otter dashboard. Copy → ChatGPT → send.

Level 3 (Full auto): Otter.ai → Zapier → ChatGPT → Gmail auto-sends summary + logs action items to your Google Sheet. Zero touch.

I run Level 3. My meeting summaries arrive in participants' inboxes within 5 minutes of the call ending. People think I have an assistant.

Bonus Prompts (Same Framework)

For voice notes: "Transcribe and organize this voice note into: key ideas, action items, and a cleaned-up written version."

For client calls: "From this client call, extract: their main pain point, what they want from us, any objections raised, their budget/timeline signals, and a recommended next step."

For brainstorming sessions: "From these brainstorm notes, extract: the top 3 ideas worth pursuing, pros/cons of each, and a recommended first step for the best idea."

---

This is the gateway drug to AI automation. Once you see how fast this works, you'll want to automate everything.

Stop Paying $99/Month for AI Writing Tools — Here's What to Use Instead

Jasper: $49/mo. Copy.ai: $49/mo. Writesonic: $19/mo. Rytr: $29/mo.

These tools are all wrappers around the same AI models you already have access to. You're paying a premium for a prettier interface and some templates.

Here's how to get better results for $20/month.

---

What These Tools Actually Do

Every AI writing tool works the same way:

  1. You pick a template ("Blog intro", "LinkedIn post", "Email subject line")

  2. You fill in some fields

  3. It sends a prompt to GPT-4 (or Claude) with your fields injected

  4. You get output

That's it. The "template" is just a pre-written prompt. You're paying $49/month for prompts.

The $20/Month Alternative

ChatGPT Plus: $20/month.

Create Custom GPTs for every content type you need:

Custom GPT 1: "LinkedIn Writer"

System instructions:

You write LinkedIn posts for a solopreneur in the AI automation space. Target audience: other solopreneurs overwhelmed by manual work. Style: direct, uses specific numbers, storytelling format, 800-1200 words. Always start with a hook. Never use hashtags. End with a question. Include one personal anecdote per post.

Custom GPT 2: "Tweet Crafter"

You write tweets and Twitter threads. Max 280 chars per tweet. Style: punchy, contrarian, specific. Threads are 5-7 tweets. Tweet 1 is always a hook with a number or bold claim. No hashtags. No emojis.

Custom GPT 3: "Email Writer"

You write business emails. Style: conversational, short paragraphs (2-3 sentences max), always have a clear CTA. Match the formality level of the recipient.

Custom GPT 4: "Blog Expander"

You turn bullet points and outlines into full blog posts. 1500-2500 words. Use headers every 200 words. Include specific examples. Write at an 8th grade reading level. SEO-aware but never keyword-stuff.

Why This Is Better (Not Just Cheaper)

  1. Your Custom GPTs learn your voice. After 5 conversations, the output sounds like YOU. Jasper sounds like Jasper.

  1. No template limitations. Custom GPTs can do anything — you're not locked into "Blog Intro" or "Product Description" boxes.

  1. Better prompts = better output. You control the system instructions. Most writing tools use generic prompts because they serve millions of users. Yours are specific to YOUR business.

  1. One subscription, unlimited use cases. ChatGPT Plus handles writing, analysis, coding, data processing, image generation. Jasper only does writing.

The Setup (30 Minutes)

  1. Go to ChatGPT → Explore GPTs → Create

  2. Name it (e.g., "NeuralOps LinkedIn Writer")

  3. Paste your system instructions

  4. Add 3-5 examples of your best past content as "Knowledge" files

  5. Test with a real content task

Do this for 3-4 content types. You now have a custom AI writing suite that outperforms any $49/month tool.

When Paid Tools ARE Worth It

There are two exceptions:

  • Collaboration features — if your team of 5+ needs shared templates and approval workflows, tools like Jasper add real value.

  • SEO-specific features — Surfer SEO or Clearscope have keyword research and SERP analysis that ChatGPT can't replicate.

If you're a solopreneur? You don't need either of those. Save the $600/year.

I Automated My Client Onboarding From 45 Minutes to 2 Minutes — Full Walkthrough

Every new client used to cost me 45 minutes of setup. Collect their info, create folders, send welcome emails, update my tracker. Boring. Repetitive. Error-prone.

Now it takes 2 minutes. The client fills out a form. Everything else happens automatically.

Here's exactly how to build this.

---

What You Need

  • Typeform or Google Forms (free)

  • Zapier ($20/mo) or Make.com ($9/mo)

  • ChatGPT Plus ($20/mo) or the API

  • Google Drive + Google Sheets (free)

  • Gmail (free)

Total: $20-40/mo

The Workflow (5 Steps)

Step 1: The Intake Form

Create a Typeform with these fields:

  • Full name

  • Business name

  • Email

  • What's your biggest challenge right now? (open text)

  • What tools do you currently use? (checkboxes)

  • What's your monthly revenue range? (dropdown)

  • How did you find us? (dropdown)

This single form replaces 3-4 back-and-forth emails.

Step 2: Auto-Create Client Folder

Zapier trigger: new Typeform submission.

Action: Google Drive → Create Folder

  • Folder name: "{{businessname}} - {{fullname}}"

  • Location: inside your "Clients" parent folder

Then: Copy your template folder contents into it:

  • Welcome doc template

  • Project tracker template

  • Meeting notes template

  • Deliverables folder

Result: Perfect folder structure, every time. No manual setup.

Step 3: AI-Generated Welcome Doc

Zapier sends the form data to ChatGPT:

Based on this new client intake: Name: {{name}}, Business: {{business}}, Challenge: {{challenge}}, Current tools: {{tools}}. Generate a personalized welcome document that includes: 1) A summary of their situation in 2-3 sentences, 2) 3 immediate priorities based on their challenge, 3) A proposed 30-day action plan with weekly milestones, 4) 2-3 resources relevant to their industry. Format as a clean document with headers.

Zapier saves this as a Google Doc in their client folder.

Step 4: Welcome Email Sequence

Zapier sends 3 emails automatically:

Email 1 (Immediate): "Welcome to [your business]! Here's what happens next." Includes link to their folder + the AI-generated welcome doc.

Email 2 (Day 2): "Quick question" — asks them to confirm the priorities AI identified are correct. This email gets opened because it's personalized.

Email 3 (Day 5): "Ready for our first session?" — calendar booking link + what to prepare.

All three are templates with personalized fields pulled from the form.

Step 5: Update Command Center

Final Zapier step: add a new row to your Clients Google Sheet with:

  • Name, email, business, start date

  • Status: "Onboarding"

  • Revenue range (from form)

  • Source (from form)

  • Link to their folder

Pro Tips

  1. Test it yourself first. Fill out your own form and watch the whole chain fire. Fix issues before a real client triggers it.

  1. Add a "review" step for the first 5 clients. Read the AI welcome doc before it sends. After 5, you'll trust the output and can remove the review step.

  1. Track the time savings. Log how many minutes each automation saves. After one month, you'll have hard data on your ROI.

The Exact AI Workflow I Use to Qualify Leads While I Sleep

Last month I closed $8,200 in new business. Didn't do a single cold call. Didn't manually review a single lead. The AI did the qualification. I showed up for meetings that mattered.

Here's the full workflow. 45 minutes to set up.

---

The Problem

Leads come from 4-5 sources. Some are serious buyers. Most are tire-kickers. Without a system, you either reply to everyone equally (waste 10+ hrs/week) or reply too slowly (lose the good ones).

The Solution: AI Lead Scoring + Smart Routing

Tools: Zapier ($20/mo) + ChatGPT API ($5-10/mo) + Google Sheets (free)

Step 1: Centralize All Leads

Every lead source feeds into one Zapier workflow — forms, emails, DMs, bookings. All roads lead to one place.

Step 2: AI Scoring

Zapier sends lead data to ChatGPT:

Score this lead 1-10 based on likelihood to buy. Score on: Budget signals (+3), Urgency signals (+2), Fit signals (+2), Engagement signals (+2), Disqualifiers (-3). Return JSON with score, reasoning, suggested_action, urgency.

Step 3: Smart Routing

Score 8-10 (Hot): Slack alert → auto-reply with calendar link → Hot Leads sheet → 24hr follow-up task

Score 5-7 (Warm): Nurture tab → 5-email AI-written sequence over 21 days

Score 1-4 (Cold): Newsletter list → thank-you auto-reply → no direct follow-up

Results After 30 Days

Before: 40+ leads, 15 hours qualifying, 8 calls booked, 2 closed ($4,800)

After: Same 40+ leads, 2 hours total, 6 calls booked (hot only), 4 closed ($8,200)

Fewer calls. Higher close rate. 13 hours saved.

---

Common Questions

"Won't AI miss good leads?" In 30 days, 2 misclassified out of 47. Added them as examples. Fixed.

"API cost?" ~$0.002 per scoring call. 40 leads = $0.08/month.

"What if I don't get 40 leads?" Even more important — you can't waste time on bad leads when volume is low.

How I Use ChatGPT to Write 30 Days of Content in 2 Hours (Exact Prompts Inside)

Most people use ChatGPT wrong for content creation.

They open a new chat, type "write me a LinkedIn post about AI," get a generic response, and conclude AI content sucks.

Here's the system I use to generate a full month of content in a single 2-hour session. Exact prompts included.

---

Step 1: The Brain Dump (15 minutes)

Answer these 5 questions:

  1. What did I learn this month that surprised me?

  2. What mistake did I make (or see someone make)?

  3. What question do I keep getting asked?

  4. What's a contrarian opinion I hold about my industry?

  5. What result did I (or a client) achieve recently?

This gives you 5 content seeds. Each one becomes 6+ pieces.

Step 2: The Expansion Prompt

Feed each seed to ChatGPT:

You are a content strategist for a solopreneur. From this content seed, generate: 1) One Twitter thread (5-7 tweets, hook in tweet 1), 2) One LinkedIn post (800-1200 words, storytelling), 3) Two standalone tweets (hot take format), 4) One Reddit post title + first 3 paragraphs, 5) One newsletter paragraph. Rules: No hashtags. First line of every piece must hook. Include specific numbers. Tone: direct, confident.

One seed → 6 pieces. Five seeds → 30 pieces. That's your month.

Step 3: The Quality Filter (30 minutes)

For each piece:

  • ✅ Would I stop scrolling for this hook? → Keep

  • ❌ Generic? → Rewrite prompt: "Make the hook more specific. Use a number or surprising claim."

You'll keep 20-25 pieces. More than enough.

Step 4: The Scheduling Prompt

Organize these 25 content pieces into a 30-day calendar. Twitter: 1/day. LinkedIn: 2/week (Tue, Thu). Reddit: 1/week (Wed). Newsletter: 1/week (Fri). Never post similar topics back-to-back. Output as table.

Load into Buffer/Typefully. Done.

3 Hook Formulas That Outperform

The Contrarian: "Unpopular opinion: [common belief] is wrong. Here's why."

The Breakdown: "I [specific result] in [timeframe]. Here's the exact process:"

The Mistake: "I wasted [time/money] on [thing] before I realized [insight]."

---

The old way: stare at blank screen → 1 post in 45 min → burnout by week 3.

The system: brain dump → AI expansion → quality filter → schedule. 2 hours → 30 days.

The content multiplier automation is one of the 5 systems inside NeuralOps. Free starter kit with the templates is in my profile. 👇

Why 90% of Solopreneurs Fail at AI Automation (And the Simple Fix)

I've watched dozens of solopreneurs try to "add AI to their business."

Most of them quit within 2 weeks.

Not because the tech is hard. Because they make the same 5 mistakes every time. Here's what goes wrong — and how to actually succeed.

---

Mistake #1: Starting With the Tool, Not the Problem

What they do: "ChatGPT is amazing! Let me find ways to use it."

What works: "I spend 6 hours/week on email. Let me automate that."

The difference is massive. Tool-first thinking leads to building cool demos that solve nothing. Problem-first thinking leads to automations that save real time and money.

Fix: Write down your top 5 most repetitive tasks this week. Pick the most painful one. That's your first automation. Nothing else matters until that one works.

---

Mistake #2: Trying to Automate Everything at Once

What they do: Spend a weekend building 8 automations. None of them work reliably. Get overwhelmed. Quit.

What works: Build ONE automation. Test it for a week. Fix the edge cases. Then build the next one.

This is the "Automation Ladder" approach:

  1. Week 1: Email triage (saves 5 hrs/week)

  2. Week 2: Content repurposing (saves 4 hrs/week)

  3. Week 3: Lead scoring (saves 3 hrs/week + better conversion)

  4. Week 4: Client onboarding (saves 6 hrs/week)

  5. Week 5: Reporting dashboard (saves 2 hrs/week)

By week 5 you've reclaimed 20 hours/week. But you got there gradually.

Fix: One automation per week. Max. No exceptions.

---

Mistake #3: Writing Bad Prompts

This is the #1 technical reason automations fail. The prompt is too vague, so the AI output is garbage.

Bad prompt:

"Write me some social media posts about my business."

Good prompt:

"You are a social media content strategist for a solopreneur who sells AI automation consulting. Write 5 Twitter posts (max 280 chars each) based on this blog post: [content]. Each post should: take a different angle (story, stat, tip, question, hot take), include a hook in the first line, use no hashtags, and end with an actionable takeaway. Format as a numbered list."

The difference? Specificity. Tell the AI:

  • Who it is (role)

  • What to create (format + quantity)

  • Based on what (source material)

  • With what constraints (length, style, tone)

  • How to format (structure)

Fix: Use the 5-part prompt framework above for every automation. Your outputs will 10x overnight.

---

Mistake #4: No Feedback Loop

What they do: Build the automation, set it, forget it. Never look at the outputs. Wonder why quality degrades.

What works: Review outputs weekly. Adjust prompts. Track what's working.

This is the "self-improving system" concept:

  1. Automation runs all week

  2. Friday: review 10 random outputs

  3. Grade them: A (perfect), B (minor edits needed), C (missed the mark)

  4. For any C-grade output, identify what went wrong

  5. Update your prompt to handle that case

  6. Next week: fewer C-grade outputs

After 4 weeks of this, your automations produce A-grade output 90%+ of the time.

Fix: Block 30 minutes every Friday for "Automation Review." Non-negotiable.

---

Mistake #5: Not Building a Command Center

What they do: Automations run in the background. No logging. No visibility. Things break silently.

What works: Every automation logs to a central Google Sheet. You always know what happened, when, and what the output was.

A basic command center has:

  • Automation Log tab: timestamp, automation name, input, output, status

  • Leads tab: name, source, score, status, last action

  • Content tab: piece, platform, status, published date

  • Metrics tab: weekly summary of hours saved, leads processed, content created

Without this, you're flying blind. With it, you can spot issues before they become problems.

Fix: Create the Google Sheet BEFORE you build your first automation. Make "log to sheet" the last step of every workflow.

---

The Simple Fix (TL;DR)

  1. Start with your biggest pain point, not the coolest tool

  2. One automation per week — no more

  3. Write specific prompts with the 5-part framework

  4. Review outputs weekly and improve

  5. Log everything in a command center

That's it. Follow this and you'll be in the top 10% of people actually getting results from AI.

---

The solopreneurs who succeed with AI aren't smarter or more technical. They're just more disciplined about building systems instead of chasing shiny tools.

5 AI Automations You Can Build This Weekend (No Code Required)

Stop reading about AI. Start building with it.

Here are 5 automations any solopreneur can build this weekend. No code. No technical background. Just Zapier + ChatGPT + a few free tools.

Each one takes 30-60 minutes to set up and saves 5-10 hours/month.

---

1. The Email Triage System (30 min to build)

Problem: You spend 45 min/day reading and sorting emails.

Solution: Gmail → Zapier → ChatGPT → Gmail + Google Sheets

How it works:

  1. New email arrives in Gmail

  2. Zapier sends it to ChatGPT with this prompt: "Classify this email as: urgentclient, lead, newsletter, spam, or actionrequired. Extract: sender name, topic, urgency (1-10), suggested reply (2 sentences). Return as JSON."

  3. ChatGPT classifies and extracts

  4. Zapier routes based on classification:

    • Urgent → Slack notification to you

    • Lead → Logged in your CRM sheet + auto-reply sent

    • Newsletter → Archived

    • Action required → Added to your task list

Result: You check email once/day instead of 20 times. Urgent items still find you instantly.

---

2. The Content Multiplier (45 min to build)

Problem: You post once and it dies. No repurposing system.

Solution: Google Doc → Zapier → ChatGPT → Google Sheets

How it works:

  1. Write (or voice-note-transcribe) one long-form piece

  2. Zapier detects the new doc

  3. ChatGPT generates in one chain:

    • 5 tweet-style posts (different angles)

    • 2 LinkedIn posts (professional framing)

    • 3 Instagram captions (with emoji + hashtag suggestions)

    • 1 email newsletter paragraph

    • 2 Reddit-style discussion starters

  4. All outputs land in a "Content Queue" Google Sheet with platform, status, and scheduled date columns

Result: 13+ pieces of content from 1 input. You just review, tweak, and post.

---

3. The Smart Lead Logger (30 min to build)

Problem: Leads come in from everywhere — DMs, emails, forms — and you lose track.

Solution: Typeform/Gmail/DMs → Zapier → ChatGPT → Google Sheets

How it works:

  1. Any new inquiry (form submission, email, or DM) gets sent to Zapier

  2. ChatGPT analyzes and scores the lead (1-10) based on:

    • Budget signals ("looking for premium," "what's your pricing")

    • Urgency signals ("ASAP," "this week," "deadline")

    • Fit signals (industry, company size, specific needs)

  3. Output goes to your Lead Tracker sheet with: name, source, score, summary, suggested next action

  4. Score 8+ → you get a Slack/email alert for immediate follow-up

Result: Never lose a lead again. Always know who to prioritize.

---

4. The Meeting Prep Bot (20 min to build)

Problem: You walk into calls unprepared, or spend 30 min researching each prospect.

Solution: Google Calendar → Zapier → ChatGPT → Email

How it works:

  1. Zapier triggers 1 hour before any meeting with an external attendee

  2. ChatGPT gets the attendee's name + email domain and generates:

    • Company summary (from domain)

    • 3 talking points relevant to their industry

    • 2 questions to ask them

    • Potential pain points you can solve

  3. You receive a formatted prep doc via email 60 min before the call

Result: Walk into every call looking like you did an hour of research. Actually took 0 minutes.

---

5. The Weekly Business Report (30 min to build)

Problem: You have no idea how your business is actually performing week to week.

Solution: Google Sheets → Zapier → ChatGPT → Email

How it works:

  1. Your command center Google Sheet already tracks leads, clients, revenue, and content output

  2. Every Friday at 5 PM, Zapier pulls the week's data

  3. ChatGPT generates a report:

    • Key metrics vs. last week (leads, revenue, content published)

    • Top performing content this week

    • Hottest leads to follow up on Monday

    • One recommendation for next week

  4. Report lands in your inbox as a clean summary

Result: CEO-level visibility into your one-person business. Takes 0 effort after setup.

---

The Pattern

Notice something? Every automation follows the same structure:

TriggerAI ProcessingOutput/Action

That's it. You're not building software. You're building workflows with an AI brain in the middle.

The tools are the same every time: Zapier (connector), ChatGPT (brain), Google Sheets (memory).

---

Which one are you building first? I'd start with #1 (email triage) — it's the quickest win and you'll feel the time savings immediately.

The $41/Month AI Stack That Runs My Entire Business (Full Breakdown)

Everyone overcomplicates this.

You don't need 47 AI tools. You don't need enterprise software. You need 5-6 tools that work together.

Here's my minimum viable AI stack — what I'd use if I were starting from zero today:

Tier 1: The Essentials ($41/mo)

1. ChatGPT Plus — $20/mo

What it does: Your general-purpose AI brain.

  • Drafts emails, proposals, and content

  • Analyzes data and generates reports

  • Scores leads and classifies customer inquiries

  • Creates first drafts of literally everything

Pro tip: Custom GPTs are underrated. Build one for each recurring task — "Client Email Drafter," "Content Repurposer," "Meeting Summarizer." Pre-load your brand voice, templates, and instructions. Now every output is on-brand with zero extra prompting.

2. Zapier (Free → $20/mo)

What it does: Connects everything together. The duct tape of automation.

  • Triggers actions when events happen (new email → process with AI → update spreadsheet)

  • 6,000+ app integrations

  • Free tier gives you 100 tasks/month — enough to test

Pro tip: Start with their templates. Search "ChatGPT" in Zapier templates and you'll find 50+ pre-built workflows you can customize in 10 minutes.

3. Google Sheets — Free

What it does: Your command center and database.

  • Logs every automation output

  • Tracks leads, clients, content calendar

  • Simple dashboards with built-in charts

  • Works with every other tool via Zapier

Pro tip: Create one "Master Dashboard" sheet with tabs for: Leads, Clients, Content Queue, Automation Logs. This is your single source of truth. If it's not in the sheet, it didn't happen.

4. Claude (Free tier)

What it does: Better than ChatGPT for long-form writing and analysis.

  • Write blog posts, newsletters, case studies

  • Analyze long documents

  • Break down complex topics

  • Create detailed SOPs

Pro tip: Use ChatGPT for quick tasks and Claude for anything that needs depth. They have different strengths. ChatGPT is faster, Claude is more thorough.

5. Make.com — $9/mo (or free tier)

What it does: Like Zapier but better for complex multi-step workflows.

  • Visual workflow builder

  • Better at branching logic (if X → do Y, else do Z)

  • Cheaper per operation at scale

Pro tip: Use Zapier for simple 2-3 step automations. Use Make.com when you need branches, loops, or complex logic.

Tier 2: The Upgrade ($86/mo total)

What You DON'T Need

Jasper, Copy.ai, Writesonic — ChatGPT + Claude cover everything these do. Don't pay $49-99/mo for a wrapper.

Monday.com, Asana, ClickUp — You're a solopreneur. Google Sheets + Notion is plenty until you have a team.

Custom AI models — You're not training GPT-4. You're using it. Big difference. Prompt engineering > model training for 99% of use cases.

Enterprise automation tools — Workato, Tray.io, etc. are built for companies with 500+ employees. You need Zapier + Make.com.

The Decision Framework

Before adding any tool, ask:

  1. Does this save me 5+ hours/month?

  2. Can I build the same thing with my existing stack?

  3. Will I actually use it weekly?

If all three aren't "yes," skip it.

I put together a free starter kit with the exact templates and Zapier configs I use with this stack. Grab it from my profile if you want to skip the setup phase.

I Replaced 3 Freelancers With AI Automations (Here's Exactly How)

Last year I was paying $4,200/month for:

  • A VA for client onboarding ($1,500)

  • A content writer for social media ($1,800)

  • A lead gen assistant for follow-ups ($900)

Today I pay $67/month in AI tools and the work gets done faster.

Here's the breakdown:

1. Client Onboarding → Zapier + ChatGPT + Google Sheets

Before: VA spent ~45 min per new client collecting info, setting up folders, sending welcome sequences.

After: Client fills out one Typeform → Zapier triggers a chain:

  • ChatGPT generates a personalized onboarding doc

  • Google Drive creates their project folder with templates

  • Gmail sends a 3-part welcome sequence (written by AI, customized with their data)

  • Google Sheets logs everything in my command center

Time per client: 2 minutes. Literally the time it takes them to submit the form.

2. Content Repurposing → Claude + Make.com + Buffer

Before: Writer created 12 social posts/week from scratch. Quality was inconsistent. Constant revision cycles.

After: I write ONE long-form piece per week (or record a voice note). Then:

  • Claude breaks it into 8 Twitter posts, 3 LinkedIn posts, 2 Instagram captions, 1 newsletter section, 2 Reddit-style breakdowns

  • Make.com formats each for the right platform

  • Buffer schedules them across the week

16 pieces of content from 1 input. And honestly? The AI output is more consistent than what I was getting from the writer.

3. Lead Scoring + Follow-Up → ChatGPT + Zapier + Google Sheets

Before: Assistant manually reviewed leads, decided who to follow up with, sent template emails.

After: Every new lead gets scored by ChatGPT based on:

  • Budget signals in their inquiry

  • Urgency keywords

  • Company size indicators

  • How they found me

Score 8-10 → immediate personal outreach (I get a Slack alert)

Score 5-7 → automated nurture sequence

Score 1-4 → added to newsletter, no direct follow-up

My close rate went up 40% because I'm spending my energy on the right leads.

What I'd Do Differently

  1. Start with ONE automation. Don't try to build everything at once. I started with onboarding because it was the most repetitive.

  2. Use prompt chains, not single prompts. The magic isn't in one AI call — it's in chaining 3-4 together where each builds on the last.

  3. Build a command center first. A simple Google Sheet that logs everything. You need visibility before you optimize.

I'm building a community around this exact approach. If you want the templates and prompt chains I use, grab the free starter kit — link in bio.
