Why most small startups screw up payroll (and how to not be one of them)

Ran payroll manually for my first startup for two years before I automated it. Here's what I learned the hard way:


1. "I'll just use a spreadsheet" always breaks around 8-10 employees. That's the point where someone's PTO, a contractor's 1099, and a state tax filing all collide in the same pay period. One formula error and you've underpaid someone — or worse, missed a filing deadline.


2. Compliance isn't optional, it's silent until it isn't. Most founders don't think about payroll tax compliance until they get a notice. By then it's a fine, not a fix.


3. Payday should be the most boring day of the month. If your team is asking "did I get paid?" you've already lost. Automate it so nobody has to ask.
