5 Payroll Mistakes That Cost Small Business Owners Thousands Every Year
I've helped dozens of small business owners take control of their payroll, and the same costly mistakes keep coming up. Here are the top 5:
1. Misclassifying employees as 1099 contractors
The IRS doesn't play around with this. If you control when, where, and how someone works — they're a W-2 employee. Misclassify them and you're on the hook for back taxes, penalties, and interest. I've seen this cost business owners $10K+ in a single audit.
2. Missing tax deposit deadlines
Federal payroll taxes have strict deposit schedules (monthly or semi-weekly depending on your liability). Miss one and you're paying 2-15% penalties on top of what you already owe. Set calendar reminders. Automate it. No excuses.
3. Not tracking overtime correctly
Non-exempt employees must be paid 1.5x for hours over 40/week under FLSA. Some states have daily overtime rules too. "I didn't know" doesn't hold up in a wage claim.
4. Forgetting state-specific requirements
Every state has different rules for income tax withholding, unemployment insurance, and new hire reporting. If you have remote employees in multiple states, you need to be compliant in each one.
5. DIY-ing it with spreadsheets instead of learning the system
Spreadsheets break. Formulas get deleted. Tax tables change. If you're going to manage payroll yourself (and you should — it saves thousands), you need to actually understand the process end to end.
That's exactly what I teach inside The Payroll Mastery Program. If you're a small business owner tired of overpaying accountants or scared of making an expensive mistake, this is for you.
