5 PDF habits that save freelancers hours every week

If you handle client PDFs daily, small workflow tweaks add up fast. Here are 5 habits worth stealing:

1. Name files before you send, not after.

Use a consistent format like ClientName_DocType_Date.pdf. It sounds trivial until you're searching through 40 "finalfinalv2.pdf" files at 11pm.

2. Merge before you send, not after.

Sending 6 separate attachments makes you look disorganized. Merge contracts, invoices, and appendices into one PDF before hitting send.

3. Flatten forms before sharing.

If a client filled out a fillable PDF form, flatten it before archiving — otherwise the data can get edited or corrupted later.

4. Compress before you email.

Most email providers choke past 20MB. Compress first so your client doesn't have to deal with a bounce-back.

5. E-sign instead of print-scan-sign.

If you're still printing contracts to sign and rescanning them, you're burning 10+ minutes per document for zero reason.

All five of these are one-click actions inside Pdfedity — merge, flatten, compress, and e-sign, no subscription required. Curious what other PDF pain points people are dealing with — drop them below.
