Ran the math on freelance rates for probably the 50th time this year and it's the same story every time: whatever number someone tells me they charge, their "real" number — the one that actually covers their income goal, business costs, and a tax buffer, divided by the hours they can realistically bill — is 30-50% higher.

The formula is simple: (desired income + costs + tax buffer) ÷ realistic billable hours. Most people bill 20-25 hours a week tops once you account for admin, sales calls, and revisions — not 40. Plug in real numbers and the gap between "what I charge" and "what I should charge" gets uncomfortable fast.

The other pattern I keep seeing: people lose clients not because their price is too high, but because the proposal buries the price in paragraph 4 after three paragraphs about their background. Lead with the client's problem, then your approach, then the price — flat, no hedging, no "I know this might be a bit much but..."

Put both of these together into a system (rate math + proposal structure + how to handle "that's too expensive") and built it into RateShield if anyone wants the shortcut:

What's your current rate vs. what the math above gives you?

Quick tip for freelancers: write down what's included in a project before you start. It takes 5 minutes and it's the single biggest thing that stops clients from asking for "just one more small thing" for free.

Most scope creep starts with a vague first message: "sure, I can help with that." Get specific in writing from message one — what's included, what's extra — and most of it disappears before it starts.
