The 5-Minute Daily Routine That Eliminated Double Bookings Across My 12 Listings
I manage 12 short-term rental listings across Airbnb, Vrbo, and Booking.com — plus a direct booking site.
Last year I had 3 double bookings in a single month. One cost me a full refund plus a guest's hotel stay. Another tanked a 5-star review streak I'd been building for 8 months.
The problem wasn't the platforms. It was me. I didn't have a system.
Here's what I changed:
Every morning, before coffee, I run a 5-minute calendar check. It's the same steps, every day, no thinking required:
Open each OTA and pull up this week's calendar view
Cross-reference confirmed reservations against my master calendar
Check iCal sync timestamps — if any are older than 2 hours, force a manual refresh
Look for "orphan blocks" — dates blocked on one platform but not reflected elsewhere
Confirm any new reservations from overnight actually propagated to all channels
That's it. Five steps. Five minutes. I haven't had a double booking since.
The key insight: iCal sync is not real-time. Most platforms update every 1-4 hours. If you're running popular listings during peak season, a lot can happen in that window. The daily check catches what automation misses.
If you're running even 2-3 properties across multiple channels, the risk compounds fast. A system like this isn't optional — it's the difference between a sustainable hosting business and one that bleeds money on avoidable mistakes.
I packaged my full workflow into a step-by-step SOP — calendar sync process, double-booking prevention checklist, missed reservation review, daily and weekly routines — all of it. Built for hosts who want to stop firefighting and start operating like a real business.
That's what Stay Synced is.
