Your Calendly no-show rate isn't a scheduling problem — it's a reminder problem
Most coaches blame no-shows on "flaky leads." Usually it's not the lead — it's the gap between booking and the call.
Here's the pattern on discovery/sales calls booked through Calendly:
The default Calendly setup sends 1 reminder. One email, ~24 hours out. That's it. By the time the call arrives, the lead has forgotten why they booked, gotten busy, or talked themselves out of it.
The fix is a 5-touch reminder stack, not "better leads":
Instant confirmation (sets expectation + adds value, not just "you're booked")
24-hour reminder (re-states the outcome of the call, not just the time)
1-hour reminder (urgency + a way to reschedule instead of no-show)
10-minute "we're starting soon" ping
A no-show follow-up sent within 5 minutes of a missed call (this alone recovers 15-20% of no-shows into rebooked calls)
Most people only build #2. The leverage is in #1, #3, #4, and especially #5.
Second thing worth testing: if you're giving away free discovery calls, try replacing that with a small paid 1-day trial to a "prep call" or resource before the real call. People who pay, show up. It's a tiny filter that dramatically raises show-rate because you've converted a "maybe" into a buyer, even a small one.
