I got married in October 2025.

I did it while managing the realities of work, money, suppliers, deadlines, and an entire wedding to organise. There was no planner. There was no spare time. There was just a long list of things that could not be allowed to slip.

Spreadsheets, notes, group chats, and browser tabs were not a system. They were noise. I needed one place to see what mattered this week, what it would cost, who still needed a decision, and what would break if I left it.

If you are planning a wedding around a job, this is the system I wish I had from day one.

Most UK couples are not over budget because the venue lied. They are over budget because nobody put stamps, supplier meals, corkage, and the night-before hotel on the same page as the pretty quote.

A typical 80-120 guest wedding outside London in 2026 will quietly add four figures in extras:

• Corkage at 8-15 GBP a bottle, or reception drinks at 8-14 GBP a head

• Meals for the photographer, band, and registrar if they stay

• Stamps on invites and thank-yous (often 150-250 GBP once you actually count)

• Marriage certificate copies, alterations, a steamer, taxis for grandparents

• VAT that was never in the screenshot your mum forwarded

Do this in 15 minutes. Open the budget you already keep. For each extra, mark: already in / add it / not doing this. Do not start a second spreadsheet.

If you are arguing about money, stop arguing about the DJ for a moment and ask: what is the number we can spend without resenting each other on a Tuesday in November? Negotiate to that number, or cut the scope. Hoping is not a plan.

Most couples who plan without a planner do not fail because they are disorganised. They fail because they try to do the whole wedding in one Sunday, then do nothing for three weeks.

A UK wedding has a small number of dates that cannot move: give notice (28 days in England and Wales, 29 in Scotland), venue and photographer deposits, the moment the guest list has to be real for catering, and the day itself. Everything else is a queue.

The working version is one 15-minute slot a week.

1. Look at remaining budget. If it is red, cut a line before you book anything.

2. Pay what is due this week. A missed deposit is how you lose a supplier.

3. Do one timeline item. Venue, registrar, photographer, catering — in that order if they are still open. Then stop.

Sleep on every quote overnight. Score it the next day: price, dates, contract, insurance, gut. If you cannot name a red flag, you have not read the contract.

That is the whole job. Not a mood board. Not a Pinterest dump. A weekly operating system until the run sheet is printed.
