I ran my gym on 5 different tools for 3 years. Here's what finally made me consolidate.
For three years I ran my box on a stack that looked like this: Wodify for WODs, Mindbody for scheduling and payments, a separate website builder, Stripe for anything Mindbody couldn't handle, and Mailchimp for member emails. Five logins, five bills, and none of it talked to each other.
The breaking point was a billing mishap — a member's card failed in Mindbody, but our website still showed them as "active" because the site synced on a 24-hour delay. She kept showing up, kept getting logged into the WOD tracker, and by the time I caught it we'd given away two weeks of access and I had to have an awkward money conversation that should've never happened.
That's when I really looked at what actually mattered day to day:
Payment status and WOD history in the same place. If a card fails, coaches at the front desk need to know instantly — not find out a week later from finance.
A website that updates in real time. New program, new pricing, new schedule — it should be live the second I hit save, not synced overnight.
One system for event ticketing. Seminars, in-house competitions, nutrition workshops — selling tickets shouldn't mean spinning up a whole separate Eventbrite page and reconciling it against membership dues by hand.
