The automation math nobody tells solo agency owners

Ran the numbers on my own client work last month: 11 hours/week were going into tasks that had zero strategic value — report formatting, lead follow-ups, onboarding emails, data entry between tools.

Here's the thing — most agency owners think 'automation' means some complex dev project. It doesn't. It means picking ONE repetitive task and wiring it up once.

The order I'd tackle it in if I were starting today:

  1. Client onboarding — new client fills a form → auto-creates their folder, sends welcome email, adds to project tracker. One Zap. Saves ~30 min per client.

  2. Reporting — pull data from wherever you track it, have GPT summarize it into client-ready language, auto-send on a schedule. This is the one people undervalue most — clients notice reports way more than they notice the actual work sometimes.

  3. Lead follow-up — new lead comes in, GPT drafts a personalized first reply based on their inquiry, you just hit send. Response time goes from hours to minutes.

None of this requires knowing how to code. Zapier, Make, or n8n plus a GPT step will get you there in an afternoon.

If you want the exact template setup for any of these, happy to share in the comments.
