5 Productivity Systems That Actually Work (From Someone Who Tried Them All)

Most productivity advice is recycled garbage. I've tested dozens of systems over the past few years, and 90% of them made me less productive.


Here are the 5 that actually stuck:


1. Time blocking (but flexible) — Don't plan every minute. Block 2-3 "deep work" sessions per day and protect them. Everything else flows around them.


2. The 1-3-5 rule — Each day: 1 big task, 3 medium tasks, 5 small tasks. That's it. If you finish early, you're ahead. Most people try to do 20 things and finish 3.


3. Weekly reviews — Spend 20 minutes every Sunday looking at what worked and what didn't. Adjust. This single habit compounds more than any tool or app.


4. Templates for everything — Stop recreating the wheel. If you do something more than twice, templatize it. I use templates for meeting notes, project plans, content calendars, budgets — everything.


5. Energy management > time management — Schedule your hardest work when your energy peaks. For most people that's morning. Don't waste it on emails.
