The #1 AV Mistake Churches and Schools Make (And It's Not Equipment)

After installing and supporting media systems for churches, schools, and event teams, I can tell you the biggest failure point is almost never the gear. It's single points of failure with no trained backup.


Here's what that looks like in practice:

  • One volunteer knows how to run the soundboard — and they're on vacation the week of the big event

  • The livestream setup works "as long as nobody touches anything"

  • Nobody knows what to do when the wireless mic cuts out mid-service


The fix isn't more equipment. It's redundancy + documentation:


  1. Label everything. Every input, every cable, every preset. A substitute operator should be able to walk in and run a basic service without calling anyone.

  2. Train at least two people on every critical system — soundboard, streaming software, lighting board. Never let expertise live in one person's head.

  3. Write a one-page "what to do if X breaks" sheet for your top 3 failure points (mic dies, stream drops, projector loses signal). Tape it inside the booth.

  4. Test your backup path before you need it. If your stream fails over to a backup encoder, trigger that failover on a random Tuesday — not for the first time during Easter service.


Most AV "emergencies" are really just a documentation and training gap wearing an equipment costume.
