Why your lab's freezer inventory is a ticking time bomb (and it's not your fault)
I spent a stretch of time watching academic and early-stage biotech labs manage six-figure sample collections in a spreadsheet that one grad student updates "when they remember."
Here's the pattern I kept seeing:
Passage numbers live in someone's head. The one person who knows which vial is P12 vs P30 graduates or leaves, and now nobody's sure which cultures are still usable.
Freezer maintenance is reactive, not proactive. Nobody finds out a -80°C unit was drifting until the samples are already compromised.
"Where is it?" costs more than the sample itself. A single misplaced reagent or cell line can cost days of re-derivation, not to mention the funding wasted.
Excel isn't the problem — it's that Excel has no concept of state. It doesn't know a sample is overdue for a check, it doesn't alert anyone when a freezer's been open too long, and it definitely doesn't know that Well A3 in Box 7 has been empty for six months.
The fix isn't a full LIMS deployment (most labs under 20 people don't have the budget or the IT support for that). It's a lightweight system that just tracks three things reliably: where a sample lives, how many times it's been passaged, and when it needs attention.
If your lab is still doing this in a spreadsheet, it's worth asking: what would it actually cost you to lose one freezer's worth of samples? For most labs, that number alone justifies fixing this before it becomes a fire drill.
