The 5-Step Framework I Use to Plan Any Event in Under 2 Hours

Most event planners overcomplicate things. They jump straight into Pinterest boards and vendor calls without a framework, then scramble the week before.


After coordinating events of all sizes — from intimate dinner parties to large corporate galas — I boiled it down to 5 steps that work every single time:


1. Lock the "Big 3" first

Date, headcount, budget. Everything else flows from these. Don't pick a venue, don't choose a theme, don't even think about catering until these are locked.


2. Pick your vibe before your vendor

"Rustic garden party" or "sleek rooftop cocktail" — define the feeling before you start shopping. This prevents the franken-event where nothing matches.


3. Build backwards from the moment

Start with the peak moment — the toast, the reveal, the first dance. Schedule everything relative to that anchor. Guests remember peaks, not logistics.


4. The 80/20 vendor rule

80% of your budget goes to 2 things: venue and food/drink. Everything else splits the remaining 20%. Planners who ignore this always blow the budget.


5. Create one "wow" they didn't expect

A surprise performer. A custom cocktail. Handwritten place cards. One unexpected detail makes an event feel 10x more thoughtful than it was expensive.
