I replaced 80% of my HR writing with AI prompts. Here's exactly how.

I've been in HR for years, and the one thing that never changes is the writing. Job descriptions, offer letters, performance reviews, rejection emails — it's all high-stakes writing that takes forever to get right.


So I started building Excel templates with pre-written AI prompts for ChatGPT and Claude. Fill in a few cells, copy the prompt, paste it, and get professional HR content in under a minute.


Here's what I learned:


1. AI is incredible at HR writing — if you prompt it correctly.

Most people type "write me a job description" and get generic garbage. The trick is structured context: role level, team size, company culture, must-have vs nice-to-have skills, compensation philosophy. Feed all of that in a single prompt and the output is genuinely usable.


2. Yellow-cell templates eliminate the learning curve.

I color-coded every input field yellow. Non-technical HR managers open the sheet, see exactly what to fill in, and get results without ever learning prompt engineering. Zero training required.


3. The biggest time savings aren't where you'd expect.

Job descriptions save time, sure. But the real wins are performance reviews (3+ hours → 2 minutes), warning letters (nobody wants to write these), and exit interview scripts. These are the tasks people procrastinate on for weeks.
