5 mistakes that ruin events (and how to avoid them)
After planning hundreds of events — from intimate dinners to 500+ person galas — these are the mistakes I see people make over and over:
1. Booking the venue before knowing the guest count. Sounds obvious, but it happens constantly. A room that's too big feels empty and awkward. Too small and you're a fire hazard. Get your RSVP numbers dialed in first.
2. Ignoring the timeline. "We'll figure it out day of" is how you end up with cold food, a DJ playing during speeches, and guests leaving early. Build a minute-by-minute run of show. Every. Single. Time.
3. Spending the whole budget on décor. A gorgeous room means nothing if the food is mediocre and the sound system is crackling. Allocate: 40% catering, 20% entertainment/AV, 20% venue, 20% everything else.
4. No rain plan. Outdoor events without a backup plan are gambling. Even in July. Have a tent on standby or an indoor pivot ready to go.
5. Trying to do it all yourself. The best hosts are present, not running around fixing problems. Delegate or hire help so you can actually enjoy the event you're throwing.
