Most 'AI tools' fail small business owners because nobody sets them up right
I keep seeing the same pattern: a business owner buys an AI subscription, opens it once, gets overwhelmed by the blank prompt box, and never touches it again. The tool wasn't the problem — the setup was.
Here's what actually works for non-technical owners trying to use AI:
Don't start with the AI. Start with the bottleneck. Pick ONE recurring task eating your time — customer replies, invoice follow-ups, content drafts, whatever. Build the AI workflow around that single task first.
Templates beat blank boxes. A pre-built prompt template with your business details plugged in will outperform a generic ChatGPT session every time. Generic prompts = generic output.
Someone needs to actually configure it for your workflow. This is the part nobody talks about. The tool works, but connecting it to how YOU actually operate takes a real setup session, not a YouTube tutorial.
