The 3-database Notion setup that actually scales for solo founders
Most solo founders and small teams over-engineer their Notion setup and end up abandoning it after 2 weeks. Here's the minimal structure that actually holds up as you grow:
1. A single "Command Center" database
One database for everything you need to do — tasks, client deliverables, content, ops. Use a "Type" property to differentiate instead of splitting into 5 separate databases. Filter views handle the rest.
2. A "Relationships" database
Every client, lead, partner, and vendor lives here. Link it to your Command Center so every task shows who it's tied to. This alone solves 80% of "where did I put that client's info" problems.
3. A "Knowledge" database
SOPs, templates, scripts, guides. When you catch yourself doing something twice, it goes here. This is what makes your business handoff-able — to a VA, a hire, or future you.
The AI unlock: once these three databases exist, AI auto-population scripts can do the heavy lifting — pulling in client data, drafting task breakdowns, and tagging relationships automatically instead of you doing manual data entry. That's the difference between a Notion workspace you maintain and one that maintains itself.
Curious what setups others here are running — especially for financial forecasting or content calendar automation. What's working for you?
