Cold email that actually gets a sponsor reply
If you have 2,000 to 20,000 subscribers, you do not need a media kit the size of a pitch deck. You need a short, specific email that makes a brand manager's job easy.
Use this as a working template. Fill the brackets. Send it. Follow up once.
Before you send
Pick one product you already use or that your readers already talk about. Random outreach dies.
Name a real number: list size, open rate, and one result you can prove (clicks, replies, sales if you have them).
Offer one placement first: a dedicated send, a primary slot in a weekly issue, or a 50-word sponsor block. One ask is easier to approve.
The template

Hi [First name],
I write [Newsletter name] for [who your readers are] — about [X,000] people, [open rate]% open rate.
Your team at [Brand] is already in front of this crowd when they [job they do / tool they use]. I want to put [product] in front of them in a way that does not feel like an ad dump.
What I am proposing
Placement: [dedicated / primary slot / 50-word block] in the [date or cadence] send
Audience: [niche], mostly [job titles or stage], [geo if it matters]
Proof: [one stat — e.g. last partner got Y clicks, or a recent issue screenshot you can attach]
Price: $[amount] for this first run (or a 2-issue test at $[amount])

Pricing you can put in the email without guessing
For 2k–20k lists, a clean starting range for a primary slot is often $20–$50 CPM of engaged subscribers (opens, not just list size). Example: 8,000 subscribers, 40% open → 3,200 opens → $64–$160 for a first test.
Quote a round number. Offer a two-issue test if they stall. Do not discount before they ask.
Three rules that keep this from sounding desperate
One brand per email. No “I thought you might know someone.”
No attachments on the first send except a link to a live issue.
Stop after one follow-up. If they want it, they will answer.
Pin this, copy it into your drafts, and send five this week to brands your readers already buy. That is how the first sponsor actually shows up.
