3 Small Fixes That Instantly Make Your Business Emails Sound More Professional

If you're a non-native English speaker writing emails for work, here are 3 quick fixes that make an immediate difference — no advanced grammar needed.


1. Cut the "I hope this email finds you well"

It's filler. Replace it with something specific: "Thanks for the quick response yesterday" or just get straight to the point. Busy people (and your reader is always busy) respect directness.


2. Put the ask in the first two sentences

Don't build up to your request at the bottom of the email. Lead with it:

"I'm writing to confirm our meeting time for Thursday. Does 2 PM EST still work for you?"

Context can follow — but the reader should know why you're emailing within 5 seconds.


3. Replace vague closers with a clear next step

Instead of "Let me know if you have any questions," try:

"Could you confirm by Friday so I can finalize the schedule?"

Vague closers get ignored. Specific deadlines and asks get replies.
