Why most solar setter rooms plateau at a 20-25% kept rate (and the 3 fixes that actually move it)
Ran into this pattern across dozens of setter rooms: contact rate looks fine, booked rate looks fine, but kept rate (shows) stalls out around 20-25%. Here's what's usually broken:
1) No confirmation cadence. One text the night before isn't enough. You need a 3-touch sequence: immediate booking confirmation, night-before reminder, morning-of "we're still on" text. Rooms that add the morning-of touch alone typically see kept rate jump 5-8 points.
2) The setter never frames the appointment as a mutual evaluation. If the homeowner thinks a rep is just "coming to sell them," they no-show. If the setter frames it as "we're going to look at your usage and tell you honestly if solar makes sense for your roof," show rates go up because it feels lower-pressure and more legitimate.
3) No same-day recovery flow for no-shows. Most rooms just let a no-show die. A same-day text + call attempt within 2 hours of the missed slot recovers a meaningful chunk of "lost" appointments — people forget, not always ghost.
