The 5 Admin Tasks Eating Your Clinical Hours (And How to Fix Each One)

Research shows therapists spend 43% of their work time on non-clinical tasks. Here are the five biggest time drains and what to do about each.


1. Session documentation (avg. 15 min/client/session)


The problem: Writing notes after every session. It bleeds into your evening, your lunch, your next client's time.


The fix: Use a structured template with pre-filled sections. Your note should have 4 sections max: Presentation, Intervention, Response, Plan. Pre-populate recurring fields (diagnosis, treatment goals). A good template gets you from 15 minutes to 5.


2. Insurance billing (avg. 3-5 hours/week)


The problem: Claim submissions, denials, follow-ups, superbills. It's a second job.
